We collect personal information that you voluntarily provide when you register on the Services or contact us. This may include your name and email address.

Sensitive information - Email content

We access your Gmail inbox via read-only OAuth for the sole purpose of detecting and classifying job-related emails. We use a two-stage process:

• Stage 1 (Pre-filter): We analyse only email subject lines, sender names, and snippet previews to determine whether an email is job-related. Non-job emails are immediately discarded and their content is never accessed further or sent to any AI.
• Stage 2 (Classification): For confirmed job-related emails only, we read the full email body and send it to our AI provider (Anthropic) to classify it as Applied, Screening, Interview, Rejected, or Offer. After classification, all email content is immediately discarded from memory. It is never stored, logged, or retained on our servers.

We store only four metadata fields: company name, job title, classification status, and date. No email body content, subject lines, or snippets are ever stored in our database.

Information automatically collected

We automatically collect certain information when you visit our Services, including your IP address, browser type, operating system, and usage data.

Google API Compliance

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We access Gmail data solely to provide the job tracking service. We do not use Gmail data for advertising, to build user profiles, or for any purpose not disclosed in this Privacy Policy.

We process your information to provide, improve, and administer our Services.

• To facilitate account creation and authentication. We process your information so you can create and log in to your account using Google OAuth.
• To send administrative information to you. We may send you details about changes to our terms and policies.
• Two-stage email classification. We use the two-stage process described in Section 1. All email content is discarded after classification. We store only: company name, job title, classification status, and date.

3. What Legal Bases Do We Rely On?

We only process your personal information when we have a valid legal reason - with your consent, to comply with laws, to provide you with services, or to fulfil our legitimate business interests.

For users in the EU or UK, we rely on: Consent, Performance of a Contract, Legal Obligations, and Vital Interests under GDPR and UK GDPR.

4. When and With Whom Do We Share Your Information?

We share information only with the following third parties for processing purposes:

• Anthropic (AI Classification Provider). For confirmed job-related emails only, we transmit email subject lines, sender names, and full email body content to Anthropic's Claude API to return a classification label. Anthropic does not retain or train on this data. See Anthropic's Privacy Policy
• Supabase (Database Provider). We store user account information and classified job metadata (company name, job title, status, date) in Supabase's secure PostgreSQL database. Email content is never stored.
• Google (Authentication and Gmail API). We use Google OAuth for authentication and the Gmail API to access your inbox with read-only permission.
• Business Transfers. We may share or transfer your information in connection with any merger, sale, or acquisition of our business.

We do not sell, share, or disclose your personal information to any other third parties for advertising, marketing, or commercial purposes.

5. What Is Our Stance on Third-Party Websites?

The Services may link to third-party websites or applications. We are not responsible for the content, privacy practices, or terms of any third-party websites.

6. Do We Use Cookies and Other Tracking Technologies?

We may use cookies and similar tracking technologies to gather information when you interact with our Services. These help us maintain security, fix bugs, save preferences, and assist with basic site functions. We may also use Google Analytics to track and analyse usage of the Services.

7. Do We Offer Artificial Intelligence-Based Products?

Yes. FreeJobTracker.ai uses artificial intelligence to automatically classify job-related emails into five categories: Applied, Screening, Interview, Rejected, and Offer.

Two-stage classification process

• Stage 1 - Job detection. We analyse only the email subject line, sender name, and snippet preview to determine whether an email is job-related. Non-job emails are discarded immediately and full content is never accessed.
• Stage 2 - Category classification. Only emails confirmed as job-related in Stage 1 proceed to this stage. We read the full email body and send it to Anthropic's Claude API to classify it. Once the label is returned, all email content is immediately discarded from memory and never stored.

What data is sent to our AI provider

For Stage 2 classification, we transmit to Anthropic's Claude API: email subject line, sender name and email address, and full email body (for confirmed job-related emails only).

Anthropic processes email content solely to return a classification label and does not retain or train on this data.

What we store after classification

After classification, we store only: company name, job title, classification status, and date. Email body content, subject lines, and snippets are never written to our database.

How to opt out

You can disconnect your Gmail inbox at any time from your account settings or by visiting myaccount.google.com/permissions. All stored metadata will be deleted within 24 hours of disconnection.

8. How Do We Handle Your Social Logins?

Our Services allow you to register and log in using your Google account. We receive certain profile information from Google including your name and email address. We use this information only for the purposes described in this Privacy Policy.

9. How Long Do We Keep Your Information?

We keep your personal information only as long as necessary for the purposes set out in this Privacy Policy - no longer than three months past the termination of your account. Email content is never retained beyond the real-time classification process. Upon account deletion, all stored metadata is deleted within 24 hours.

10. How Do We Keep Your Information Safe?

We have implemented appropriate technical and organisational security measures to protect your personal information. However, no electronic transmission over the Internet can be guaranteed to be 100% secure.

Most web browsers include a Do-Not-Track feature. At this stage, no uniform technology standard for recognising DNT signals has been finalised. We do not currently respond to DNT browser signals.
